Contact the 4S center to schedule a time, and just go there for the upgrade. Might as well get a car wash while you're at it. I went for the upgrade this afternoon. I wanted to see how it was done, but I took a bathroom break, and by the time I got back, it was already done.

Waiting for notification—usually, you'll receive a call or a letter. Or when you go to the 4S shop for maintenance, you can ask the receptionist. They typically update the software for you directly.

Just ask at the 4S shop when you go for maintenance! It's just a system upgrade, not a big issue. The upgrade is just a precaution, no need to overthink it.
